Recent updates to the CWWC Reservation Management System. This page highlights staff-facing changes from 2025 through September 2026.
September 2026
Add-on eligibility and prerequisites
- Add-ons can require other add-ons or guest conditions before they can be booked.
- Guest count policies enforce limits on reservations and add-ons.
- Validation messages and UI feedback make it clearer when an add-on is not eligible.
- Age overlap issues were fixed, and interactions now show a tag when a teenager is present.
Check-in
- Staff can check in reservations directly from the Tour view.
School and group bookings
- Organizations support school and group reservations.
Email templates
- The email template system was overhauled so templates are easier to manage.
Reservation editor
- The Edit Reservation page layout is easier to work with.
- Add-on notes appear with hover tooltips on the dashboard.
- Empty-day columns on the calendar are narrower so booked days stand out more.
August 2026
Guest ages and add-ons
- Quick +/− controls adjust guest counts by age.
- Add-on participant eligibility and split handling are more accurate.
- A dedicated add-ons page lists related reservations.
- Add-ons with zero guests are hidden from views.
- Add-on notes are hoverable on dashboard entries.
Visitors and bookings
- Visitor email handling includes per-visitor notification toggles.
- Visitor profiles now list their reservations.
- Staff can reassign which team member booked a reservation.
Sign-in and registration
- Registration and login were refreshed for the admin panel.
July 2026
- Reservations track which user created them (“Booked by”).
- Discount rules support flexible pricing adjustments.
- Guests can no longer overbook tour capacity.
May–June 2026
- Guest ages appear on the add-on picker and throughout add-on booking.
- Blackout dates can also block related add-ons.
- Calendar layout and styling were improved.

Calendar
- Monthly view includes a week/month toggle.
- Loading skeletons and a spinner replace plain “loading” text.
- The monthly grid fills the viewport, with clearer weekly and day views.
- Bookable and unavailable days are easier to tell apart.
Communications
- Tour-specific email templates let you customize messages per tour.
February 2026
Notification settings (managers)
- Turn confirmation emails on or off.
- Turn reminder emails on or off, and set how many days before the tour they send.
- These settings live in the admin Settings area.
Email types
- Confirmation email on reservation creation, including a full invoice breakdown.
- Approval email when a reservation status changes to approved.
- Day-before reminder emails sent automatically.
Email history
- Sent emails are logged automatically.
- Staff can review them in the Sent Email resource.
Discounts and payments
- Reservations support discounts and payments.
- Predefined discount reasons and payment methods are available.
- The invoice view shows a pricing breakdown.
January 2026
- Duplicate an existing tour template instead of starting from scratch.
- Seasons show the year and can recur annually.
- Seasons can use specific dates, not only month/day ranges.
- Season permissions and duplicate/delete actions were improved.
- Blackout date logic respects tour templates and schedules.

Blackouts, capacity, and templates
- Blackout dates hide affected tour times from booking.
- Tours-per-day limits prevent scheduling past daily capacity.
- Add-ons count toward the tour capacity quota.
- Past tour times are hidden from scheduling.
- Individual tour templates can be enabled or disabled.
- Create tours from templates with a quick action.
Cancellations
- Cancel a reservation and recover it later if needed.
- Cancelled reservations are hidden from the default list (they still appear on tours).
- A reservation status selector includes cancellation.
- A reservation cannot be restored onto a tour that is already full.
- “Add reservation” is hidden when a tour is full.
Visitors and scheduling
- Employees can delete visitors, and visitor names can be searched and sorted.
- Phone number validation is stricter.
- The calendar defaults to month view.
- The tour selector uses toggle buttons.
- Employees cannot create tours outside of templates.
